Executive Operations Manager
We are seeking a highly capable and driven Executive Operations Manager to work directly with our Executive Team. This role blends high-level executive support with strategic operations, project coordination, and cross-functional leadership. You’ll be at the heart of the business — helping the executives stay focused, organized, and effective while ensuring that key initiatives are moving forward across the company.

Responsibilities
- Act as a key liaison between the executive team and internal teams, ensuring alignment, accountability, and efficient communication
- Drive cross-functional initiatives by following up with department leads, monitoring progress, and ensuring execution against timelines
- Prepare and organize presentations, reports, talking points, and briefings for meetings, internal updates, and external engagements
- Manage ongoing communications, including emails, memos, meeting summaries, and task delegation on behalf of the executive team
- Support operational excellence by identifying gaps, inefficiencies, and opportunities across workflows and communication channels
- Collaborate closely with all departments, with particular attention to the media/content team, to ensure deliverables are aligned with company priorities
- Own logistics and documentation for internal projects, launches, campaigns, and events, ensuring nothing falls through the cracks
- Help onboard and coordinate new tools and systems across the org (e.g.,Monday.com, Slack, Google Sheets) and support automation of recurring tasks
- Provide travel support and remain flexible and responsive during irregular hours when the executive team is traveling
- Maintain strict confidentiality and discretion at all times across internal strategy, sensitive data, and executive communications
- Lead event execution and management, ensuring budgets are adhered to, tasks are completed on schedule, and every detail is flawlessly executed.
Requirements
- 3+ years of experience in a high-level Executive Assistant, Operations, or Chief of Staff-style role
- Strong organizational and project management skills; ability to juggle multiple tasks and deadlines effortlessly
- Tech-savvy with fluency in tools like Microsoft Office, Google Workspace, Monday.com, Notion, Slack, Asana, and calendar management platforms
- Excellent communication skills — both written and verbal — with an ability to simplify complex information
- Comfortable working remotely across time zones and adjusting to fast-changing schedules and priorities
- High level of emotional intelligence, discretion, and professionalism
- Experience in fast-paced industries such as eCommerce, media, or startups is a plus
- Fluent in written and spoken English; Spanish is a bonus
- Bonus: Experience with event planning or working with content/media teams
